Watch the app in action first

The recording below is the actual Kaptan GPS Tracking mobile app. Play it once to see how the screens fit together, then use the chapters underneath as your checklist.

Screen recording of the Kaptan GPS Tracking mobile app — tap play to watch the demo.

What the demo covers

  • The live map with the current position and speed of every vehicle
  • Trip history and route playback for any date
  • Overspeed, ignition and power-cut alerts arriving as notifications
  • Geofence entry and exit events for your depot or site
  • Reports you can export as PDF or Excel, or schedule by email

Button names can differ slightly between app versions. The order of the steps below stays the same, so you can always find your way back.

Eight short chapters, in the order you need them

Chapters 1 and 2 get you live. Read the rest whenever you reach that screen — each card is a two-minute read with the exact buttons to look for.

Chapter 1

Sign in for the first time

Start here

Use the mobile number or email registered with your Kaptan GPS Tracking account.

  1. Open the Kaptan GPS Tracking app, or the web dashboard in any browser.
  2. Enter your registered mobile number or email and the password we shared at activation.
  3. Change the temporary password when asked, then allow notifications.
Chapter 2

Add your vehicle

Fleet setup

Link a fitted tracker to a vehicle so its data has somewhere to land.

  1. Go to Vehicles and choose Add vehicle.
  2. Enter the registration number and the IMEI printed on the tracker label.
  3. Add a driver name and vehicle group (optional), then save.
  4. Wait for the first GPS fix — usually under five minutes with a clear sky view.
Chapter 3

Track vehicles live

Daily use

The map screen is what you will open most often — learn it in one minute.

  1. Open Live map to see every vehicle in your account.
  2. Search by registration number, or tap a vehicle on the map.
  3. Read speed, ignition state and how fresh the last update is.
  4. Pull down on the list to refresh the positions instantly.
Chapter 4

Replay a trip

History

Check where a vehicle went, when it stopped and how fast it was moving.

  1. Select the vehicle, then open Trips or History.
  2. Pick the date — or a custom from/to range.
  3. Tap any trip to play the route back on the map.
  4. Expand the trip to see stops, idle time and top speed.
Chapter 5

Set up alerts

Notifications

Get the events that matter on your phone instead of checking the map all day.

  1. Open Alerts and choose Create alert.
  2. Pick the event: ignition on/off, overspeed, idle, power cut or SOS.
  3. Set the threshold and choose who receives it.
  4. Save, then test it once so you know it reaches you.
Chapter 6

Draw a geofence

Zones

Mark your depot, site or school and know the moment a vehicle crosses it.

  1. Open Geofences and choose New geofence.
  2. Draw a circle or polygon around the area on the map.
  3. Choose entry, exit or both, and assign the vehicles it applies to.
  4. Save it and give it a name your team will recognise.
Chapter 7

Pull a report

Reports

Turn a month of movement into a file you can send to accounts or a client.

  1. Open Reports and choose the report type.
  2. Select vehicles and the date range.
  3. Preview the summary, then export as PDF or Excel.
  4. Schedule the same report to arrive by email every day or month.
Chapter 8

Add users and roles

Admin

Give your team the access they need — and nothing more.

  1. Go to Settings, then Users, and choose Invite user.
  2. Enter their mobile number or email address.
  3. Pick a role: admin, manager or view-only.
  4. Restrict them to specific vehicles if required, and revoke access anytime.

Device not fitted yet?

Installation comes first. Match your tracker model number and watch the fitting video for that device, then come back here for the software side.

Device installation guidelines

Common software questions

The five things customers ask most after their first login.

Where do I download the Kaptan GPS Tracking app?

Search for Kaptan GPS Tracking on Google Play or the App Store, or simply open the web dashboard in any browser. The same login works on all three, and every option shows the same vehicles you have on your account.

My vehicle shows offline. What should I check?

Check that the tracker has power and that the vehicle has been started at least once since installation. A newly fitted device can take up to five minutes to pick up its first GPS fix. If it is still offline after 30 minutes in an open area, call support on +91 95580 74945.

Can I use the software on a laptop?

Yes. The web dashboard gives you the same live map, trip history, alerts and reports on a larger screen, which is easier for office work and monthly reporting.

How many users can I add to one account?

Most plans allow several users with admin, manager or view-only roles. Tell our team how your staff is organised and we will map the roles, vehicle access and alert recipients to it.

Does the demo video show the latest version of the app?

The recording shows the real Kaptan GPS Tracking app, but labels and menu positions can shift slightly when the app is updated. The flow described in the chapters below stays the same.

Still stuck on a screen?

Our support team can walk you through the app on a call, or set it up with you. Tell us which chapter you are on and we will take it from there.
